The short version

Who this covers

StillQuote is made by StillSuite ("we"), which makes software for craft distilleries. The app is used by distilleries that run spirits for other companies under contract, to price that work, quote it and invoice it.

In this policy, "your company" means the business whose setup code your device uses. Your company connects your device to its StillSuite, and it decides who on its team can use StillQuote.

What stays on your device

StillQuote keeps its records in a database inside the app: your company details and logo, rate profiles, clients, quotes, invoices and payments, and an activity log. iOS protects that storage with its file protection. The app works with no signal and without an account, and a device that has never been connected keeps everything to itself.

Quote and invoice PDFs are made on the device. StillQuote also saves a backup of the book once a day and keeps the last 14 inside the app. Those backups are included when you back up the device itself to iCloud or a computer.

The keys that let the device sync, which come from the setup code, are stored in the iOS Keychain, never in the app's database.

What goes to your company's StillSuite

When the device is connected, StillQuote syncs on its own: when you open it, a few seconds after you make a change, every few minutes while it's open, and as it goes to the background. Changes made with no signal wait on the device and go out when you're back online, which iOS may do while the app is in the background. A device that isn't connected sends nothing. This is what it shares:

Your quote book

Every quote and invoice, complete: the rates frozen on it, cost, margin, internal notes, payments and status. Every client: name, contact details, state, TTB number and ship-to address. Your rate profiles, and your company details (name, logo, reference prefix, email copies and payment methods). Only owners can change rates and company details.

Where the book lives

StillReporting keeps the book in a separate StillQuote store that only connected devices can read. It isn't shown on StillReporting's pages, and it's included in StillReporting's backups.

Your colleagues

Every connected device at your company receives the whole book, including other people's quotes, their costs and internal notes. A colleague's quotes are read-only, apart from payments that owners and Accounting can record.

Jobs

When a quote is accepted, StillReporting receives the job details it needs to create an order: volumes, ABV, proof gallons, recovery, hours, bottling, the quoted total and notes for the client. Paid and unpaid invoices update that order with totals, the amount paid, the output and hours.

Pipeline

If your company uses StillCRM, each quote's reference, status, client name, email and phone, product and total go there, so the quote follows the account. When you search StillCRM accounts while picking a client, what you type goes to StillCRM and the matching accounts are kept on the device.

Deleting

Deleting a quote, invoice or client from Trash for good deletes it for everyone at your company.

Feedback

If you use Send feedback, your name, rating, category and message go to StillReporting, where the StillSuite team reads them to fix problems. No screenshots, logs or device details go with it.

Once records reach your company's StillSuite, your company decides who on its team can see them. To have records corrected or deleted there, ask your company, or write to us at hello@stillsuite.online.

Sending quotes and invoices

StillQuote doesn't send email itself. Email opens a message in your own Mail account for you to send, Share hands the PDF to the app you choose, and Print uses AirPrint.

When the device is connected, a quote email also carries a link to a StillReporting page where your client can accept or decline. When the client answers, that page records the decision, the time, and the client's IP address and browser.

Camera, photos and Face ID

• Camera: only to scan a setup code.
• Photo library: to pick your company logo. StillQuote takes only the image you choose.
• Face ID, Touch ID or passcode: to unlock the app, if you turn the app lock on. iOS checks it; StillQuote never sees your face, fingerprint or passcode.

StillQuote doesn't use your location, contacts, microphone or notifications.

What StillQuote doesn't do

• No ads, and no advertising identifier.
• No tracking across other companies' apps or websites.
• No third-party analytics or crash-reporting tools in the app.
• We don't sell your information or share it with advertisers.

Your choices

• Change or remove the camera and photo permissions at any time in the device's Settings app, under StillQuote.
• Export the book as a .stillquote file under Settings, then Backups & export.
• Disconnect this device (under Settings, then StillSuite) stops syncing and removes the device's keys. Everything stays on the device.
• Disconnect and erase this phone's book (same page) also removes the quotes, invoices, clients, company details, rates, activity log and backups from the device. Your company's copy on StillSuite stays.
• To stop a device's keys working on the server as well, your company disconnects it in StillReporting, under Settings, then Mobile access.
• Deleting the app removes its database and backups from the device. Disconnect first if you want its keys removed from the Keychain too.

Children

StillQuote is a work tool for adults in the spirits trade. It isn't meant for children, and we don't knowingly collect information from them.

Changes to this policy

If what StillQuote does with your information changes, we'll update this page and the effective date at the top.
